Who we are

Venocast is run by Jason Vugrek (ABN 90 265 517 635). In this policy, "we" and "us" means Venocast.

This policy explains what personal information we collect, why we collect it and how we look after it. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

What we collect

  • When you ask for a free preview or get in touch, on this website or through a form on LinkedIn: your name, your club's name, your email address or phone number, and anything else you choose to tell us.
  • Whether you've agreed to receive news and offers from us.
  • When you visit this website: our hosting provider automatically records standard technical information, such as your IP address, browser type and the pages you visit. This keeps the site running and secure. We don't use advertising or tracking cookies.
  • Business contact details that clubs publish themselves, such as on their own website, so we can contact clubs about Venocast.
  • If your club uses Venocast, the information described in the next section.

Information we hold for clubs

When a club uses Venocast, we hold its information on the club's behalf. The club decides what goes in. This includes:

  • For people with a login: their name, email address and role at the club, and security records of signing in and of changes they make, including the time and IP address.
  • For the club's sponsors: the business and contact details the club enters, such as a contact's name, email address and phone number, and the club's own notes.
  • What the club puts on its screens. This can include people's names, for example a hole in one. The club is responsible for being allowed to show them.
  • Records from the club's screens of what played, when, and on which screen. These don't identify anyone.

We only use this information to provide, support and improve Venocast for that club. We never contact a club's sponsors, never use their details for our own marketing, and never sell any of it. A club's screens receive only what they need to play, never sponsor contact details or sponsorship values.

If you want to see or correct information a club holds about you in Venocast, such as your details as a sponsor, ask the club. We'll help them with it.

How we use it

  • To prepare your preview and reply to your enquiry.
  • To provide, support and improve Venocast for the clubs that use it.
  • To send you news and offers, but only if you've agreed. Every email has an unsubscribe link.
  • To keep business records and meet our legal obligations.
  • We don't sell personal information.

Venocast support

When a club asks for help, someone at the club can let Venocast support into its account for up to 3 days, and anyone at the club can end it sooner. While support is in, it can see the club's information, including sponsor contact details. If nobody at a club can let us in, for example while we set the club up, we may let ourselves in for up to 7 days. Every time support is let in, and everything it changes, is recorded and shown to the club.

Who we share it with

We use trusted service providers to run Venocast. They only get the information they need to do their job:

  • DigitalOcean hosts the Venocast platform, its database, and clubs' pictures and videos, in Sydney, Australia.
  • Zoho runs our email and sends Venocast's invitation and password emails, from its Australian data centre.
  • Netlify hosts this website and receives the preview form. It stores information in the United States.
  • LinkedIn, if you use one of our forms there.
  • Open-Meteo provides the weather on clubs' screens. It receives only the club's location, never personal information.

Clubs' information in Venocast is stored in Australia. Information from this website and from LinkedIn forms may be stored outside Australia, including in the United States. We choose providers that protect information to a standard similar to the Australian Privacy Principles.

We may also share information if the law requires it.

Keeping it secure

  • Each club's information is kept separate from every other club's by the database itself.
  • Connections are encrypted, and passwords are stored scrambled (hashed) so that nobody, including us, can read them.
  • Signing in lasts 30 days at most, and access is limited to the people who need it.
  • If someone gets into personal information without permission, we'll tell the affected club without delay. Where a breach is likely to cause serious harm, we'll also tell the people affected and the Office of the Australian Information Commissioner, as the law requires.

How long we keep it

We keep personal information only for as long as we need it for the purposes above, then delete it or remove anything that identifies you. When a club stops using Venocast, we delete its information within 90 days, keeping only what the law requires, such as our invoices.

News and offers

We only send marketing emails to people who have agreed to receive them. You can unsubscribe at any time using the link in any email, or by emailing hello@venocast.com.au.

Accessing or correcting your information

You can ask to see the personal information we hold about you, or ask us to correct it. Email hello@venocast.com.au and we'll respond within 30 days.

Questions and complaints

If you have a question or a complaint about how we've handled your information, contact us first and we'll respond within 30 days.

If you're not happy with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed. Our customer terms set out what Venocast agrees with the clubs that use it.
